Many of our clients hold real estate as an investment, while they conducted their other business. Some properties are held in partnerships. We act as a third party to help in the care and coordination of the needs of the building. Your lease may allow for the cost of our services to be passed through to your tenants. At the heart of our services, we collect rents, and pay all of the invoices for the building. We maintain a complete set of accounting records. We prepare routine financial statements for our clients, including rent rolls, profit and loss statements, balance sheets, and receivables. We prepare annual reports for your tax preparations. We prepare 1099 documents for all contractors. We also maintain relationships with insurance agents, accountants, and attorneys. We will prepare an annual budget of income and expenses.
Once a tenant is placed into your building we become the primary point of contact for the property. We will visit the building to introduce ourselves, we deliver keys (and collect them at the end) at lease inception, we regularly visit the building to make sure the building is in great shape; some of the things we inspect are the landscaping, the roof (for missing shingles), trash around the building, etc. We are also the point of contact to enforce the terms of the lease.
Repairs and Maintenance
Your tenants will call us with any of their concerns. We regularly receive calls about lights, plumbing, and hvac systems that need attention. We know the right vendors to call to get things fixed quickly and at a fair price. If the lease calls for the tenant to pay for these services we bill the tenant. We bid, award, schedule and follow up on all service contracts, including lawn mowing, snow plowing, trash removal, elevator inspections, etc. We routinely let utility companies into “common storage rooms” to coordinate the start and end of services.
